Ticket types, schedules, time zones, adding dates and when sales close.
How an event is set up
Each event is a Shopify product. Each session (a date and time) is a variant, and its seats are that variant’s inventory. When a seat sells, Shopify’s own stock count goes down, so you see seats left in EventDesk and in your products list.
Ticket types
Each ticket type, such as General or VIP, has its own number of seats in every session. A sold-out VIP doesn’t take seats from General.
Time zones
Event dates and times use the venue’s time zone, which defaults to your store’s. Times in EventDesk, on tickets and on the door scanner are labelled with the zone, for example “10:00 AM MDT”.
Add or remove dates
On the event page:
- Add sessions adds more dates to the same product.
- Take off sale removes a session from the product, so it can no longer be bought.
- Remove past sessions clears sessions that have ended.
When sales close
Online sales for a session close when it starts. To allow late entry, go to Settings > Ticket sales and set how many minutes after the start to keep selling, up to 24 hours. Sales always close when a session ends.
EventDesk takes the session off sale by setting its stock to zero in Shopify, and the event page says when and why.
Product status
If the product is set to Draft or Archived, is removed from the Online Store, or is deleted, its sessions stop selling. The event page shows why an event isn’t on sale.
